Director of Front Office/ Front Office Manager Position Purpose:
To ensure that the resorts room inventory is controlled, to maximize revenue and increase occupancy.
To increase guest satisfaction by providing efficient and courteous guest service in accordance with the standard of the Hilton Sandestin Beach Golf Resort & Spa.
To increase guest satisfaction and loyalty by ensuring room type and other special request are fulfilled.
Essential Functions:
Pre-assign incoming groups, Hilton Honors guests, and other Best Guests using the CRM report taking into account special requests and available upgrades.
Monitor room type availability for groups to ensure that room types are available when total rooms are available.
Monitor and process Nor 1 Upgrades.
Monitor the tape chart daily to ensure that there are no match blocks.
Coordinate with reservations department to ensure same day reservations requests are not overlooked.
Demonstrates a working knowledge of all services and facilities in the hotel.
Demonstrates proficiency in the hotel's property management system, ONQ.
Attend weekly staff meetings with group resumes to understand group's blocks and needs.
Monitor pending rooms and place reservations in Vacant/Ready rooms when possible All other responsibilities as assigned by your supervisor Supportive Functions:
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the hotel.
Assist front desk with check-in and check-outs, and daily checklists when necessary.
Answer reservations phone calls as needed and assist when call volume is high.
Specific Job Knowledge, Skill and Ability:
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
Must successfully complete OnQ PMS and R&I computer-based training Must possess the skill required to perform various secretarial functions if necessary.
Must have the ability to work under pressure without letting that pressure show to the guest.
Must possess good organizational skills.
Must be able to concentrate and exert good judgment as the front desk is a very busy area and the focal point of the hotel.
Must have a good telephone voice and manner Must have some basic math skills.
Qualification Standards:
Education:
High school or diploma equivalent preferred.
Experience:
Previous hotel front desk or reservations experience required.
Supervisory experience preferred.
Licenses or certificates:
No special licenses required.
Grooming:
All employees must maintain a neat, clean and well-groomed appearance (specific standards available).
Other:
Regular attendance in accordance with hotel standards, which may be changed by the Hilton at any time, is essential to successful performance of this position.
Employees with irregular attendance, excused or unexcused, will be subject to disciplinary action, up to and including termination of employment.
Due to the seasonal and business nature of the hospitality industry, employees may be required to work varying schedules and hours to reflect the staffing needs of the hotel.
Upon employment, all employees are required to fully comply with Hilton rules and regulations for the safe and efficient operation of hotel facilities.
Employees who violate hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.
